Job Description About the Role: The Team Leader/Mail/Receptionist is responsible for supporting departmental activities within a specific facility. In collaboration with the Manager, the Team Leader oversees daily Receptionist and Mail department production activity, facilitates workflow, and provides guidance to staff. Additionally, the Team Leader plays a key role in training, assisting, to ensure operational efficiency and adherence to company policies and procedures.
Essential Job Responsibilities: Team Leader - Inform, implement, and communicate all departmental and company policies and procedures to ensure compliance and consistency.
- Under the direction of the Manager, communicate directly with clients and/or client personnel on the status of requests, disposition of inquiries, and other relevant matters.
- Ensure regular inventory audits are performed, escalating any non-reconciled discrepancies to the direct Manager for resolution.
- Ensure appropriate production level documentation is completed for all production staff, and complete production and quality assurance reports as required.
- Train new staff as needed and provide ongoing coaching and counseling to staff with the assistance of the Manager.
- Delegate and direct daily workflow need to employees, monitoring performance and attendance, and submitting appropriate documentation to the Manager for disciplinary and performance review purposes.
- Receipt, retrieval, and delivery of all requested files and/or containers per client request and within established Service Level Agreements (SLAs).
- Assure that safety protocols are followed at all times, escalate any issues directly to Management, and perform daily inspections of facilities to ensure cleanliness, organization, and adherence to safety standards.
- Inspect all entry points for breaches or potential breaches to building security, escalating any concerns immediately to Management.
Mail - Receive and record all regular and priority packages from commercial vendors and the postal service.
- Coordinate received items for pick-up and deliver mail and packages to customers throughout the building.
- Maintain a variety of detailed records and metrics concerning items received and/or delivered, destination and to whom they are delivered.
- Process incoming and outgoing mail.
- Perform related duties and responsibilities as required.
Receptionist - Welcomes visitors by greeting them, in person, answering or referring inquiries.
- Directs visitors by maintaining employee and department directories, giving instructions.
- Maintains security by following procedures, issuing visitor badges.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
Qualifications: - High School Diploma or equivalent.
- Previous leadership experience required.
- 1-3 years of production and/or clerical experience required.
- Willing to provide backup support during absences
Prepare and ready materials for distribution including but not limited to metering, addressing, stuffing envelopes, and making labels.
• Prepare daily outgoing domestic shipments using a computerized shipping system and ensure shipping guidelines are adhered to.
• Sort, pick-up and deliver mail and packages; receive load and unload packages; utilizing company resources
• Maintain a variety of detailed records and metrics concerning items received and/or delivered using proprietary internal tracking tool.
• Receive and record all regular and priority packages from commercial vendors and the postal service.
• Coordinate received items for pick-up and deliver mail and packages to customers throughout the building.
• Perform necessary housekeeping duties in order to maintain a clean, safe and efficient working environment.
• Maintain all logs and reporting documentation as required.
- Proficiency in Microsoft Office applications.

"The pay range for this position starts at $24.50 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered."
